Invoice template: what to include
A good invoice is short and clear, so your client can pay it without questions. Here's what most invoices include. When you're ready, fill in the free invoice template and download a PDF. No sign-up.
The checklist
- The word "Invoice" (or "Tax invoice" if your tax rules ask for it).
- Your business name and contact details, plus any business or tax number you need to show (for example an ABN, GST or VAT number).
- Your client's name and, if needed, their address or business number.
- A unique invoice number. Most people number invoices in order, like INV-0001, INV-0002.
- Issue date and due date (or payment terms, like "due in 14 days").
- What you're charging for: one line per item or service, with quantity, unit price and amount.
- Subtotal, discount, tax and total. Show the tax name and rate you're charging, if any.
- How to pay: bank details, a payment link, or both. A "Scan to pay" QR code makes it easy on a phone.
- Notes: a thank you, a project reference or a purchase order number.
Rules differ by country. What a valid (tax) invoice must show depends on where you and your client are, whether you're registered for GST or VAT, and the amount. This page is general information, not tax or legal advice. Check with your accountant or tax authority, for example the ATO (Australia), GOV.UK or Your Europe (EU).
Tips for getting paid faster
- Send the invoice as soon as the work is done.
- Use a clear due date rather than "net 30" if your clients aren't used to terms.
- Make paying easy: put your payment details on the invoice, or add a payment link and QR code.
- Keep a copy of every invoice you send. Many tax authorities expect you to keep records for years (for example five years in Australia).
Pick a look: simple, modern, professional or minimalist
- Simple invoice template: your logo, a thin line in your colour and a clear total. Good for most freelancers and small businesses.
- Modern invoice template: a full-width colour band across the top, with an optional two-colour gradient.
- Professional invoice template: a classic black title with a coloured table header, for a more formal look.
- Minimalist invoice template: black and white only. It prints well and suits any brand.
Pick one of the preset colours or choose Custom to type your brand's hex or RGB colour. Text on coloured areas switches between white and black automatically so it stays readable. Want a blank invoice template? Leave the fields empty and download or print it.
